Wedding Styling Checklist: Everything You Need to Know

Planning a wedding is one of the most exciting journeys you will ever take, but when it comes to styling, the sheer number of details can feel overwhelming. From the ceremony space to the reception tables to the little touches that tie everything together, there is a lot to think about. This comprehensive checklist will help you stay organised and make sure nothing slips through the cracks.

3 to 6 Months Before: Setting the Foundation

Define your style direction. Before you book anything, get clear on the overall aesthetic you are going for. Are you drawn to romantic and soft, modern and minimalist, rustic and organic, or bold and dramatic? Collect inspiration images, create a mood board, and identify common themes. This will guide every decision that follows.

Choose your colour palette. Settle on two to four core colours that will carry through your entire event. Consider how these colours work together across different elements: flowers, table settings, bridesmaids dresses, stationery, and decor. Test your colours in person, not just on screen, as they can look quite different in real life.

Book your event stylist. A professional stylist can save you enormous time, stress, and money by pulling all the elements together cohesively. At iDo. Confirm your venue layout. Get the floor plan from your venue and start mapping out key areas: ceremony space, reception tables, dance floor, cake table, photo backdrop, and entrance. Knowing your layout early allows your stylist to plan installations to scale and ensures everything fits the space perfectly.

6 to 8 Weeks Before: Locking In Details

Finalise your ceremony styling. Will you have an arch, arbour, or backdrop at the altar? What about aisle decorations, pew ends, or scattered petals? Decide on the ceremony styling elements and share your vision with your stylist. If your ceremony and reception are in different locations, plan for how props will be transported between venues.

Plan your reception table settings. This is where the details matter. Consider the following for each table: tablecloths or runners, charger plates, napkins and napkin rings, place cards, centrepieces, candles or tea lights, glassware, and any additional decorative elements. Think about height variation in your centrepieces to add visual interest across the room.

Order your signage. Welcome signs, table numbers, seating charts, bar menus, and directional signs all add to the overall aesthetic. Make sure these are designed to match your colour palette and style. Acrylic signs, mirror signs, and hand-lettered timber boards are all popular options that we see across Melbourne weddings.

Plan your lighting. Lighting can make or break the atmosphere. Consider fairy lights, festoon lights, candles, lanterns, or uplighting depending on your venue and style. If your venue has harsh overhead lighting, discuss options for softening it. Warm, ambient lighting will always photograph better and create a more romantic atmosphere.

2 to 4 Weeks Before: Fine-Tuning

Confirm all prop hire items. Go through your styling plan with your hire company and confirm every item on the list. Quantities, colours, and specific styles should all be locked in. This is also the time to confirm delivery and pickup logistics, including venue access times and any loading dock requirements.

Create a styling timeline. Work with your stylist to create a detailed setup timeline. How long will setup take? When does the stylist need venue access? What needs to be installed first? A clear timeline ensures smooth setup on the day and avoids any last-minute stress.

Brief your photographer. Share your styling plan and key design elements with your photographer so they know what to capture. Point out any special details, custom props, or meaningful personal touches that you want documented. A good photographer will capture the full story of your styling, from wide shots to the tiniest details.

Plan your personal flowers. Bouquets, boutonnieres, corsages, and flower girl arrangements should be finalised and ordered. If you are using your florist and stylist separately, make sure they have communicated on the colour palette and overall design direction so everything is cohesive.

The Week of Your Wedding

Do a final venue walkthrough. If possible, visit your venue one last time to confirm the layout, check lighting, and note any changes. Take photos and share them with your stylist so everyone is working from the same reference point.

Prepare your personal items. Gather any personal items that will be incorporated into the styling: framed family photos for a memorial table, guest books, cake toppers, card boxes, or any heirloom pieces. Pack these in a clearly labelled box for easy handover on the day.

Confirm contact details. Make sure your stylist, venue coordinator, photographer, and any other relevant vendors have each other's phone numbers. Clear communication on the day prevents small issues from becoming big problems.

Trust your team. This is the most important item on the checklist. If you have done the planning, hired professionals, and communicated your vision clearly, your job on the day is to relax and enjoy it.
